SEO & GEO Dashboard Privacy Policy

Last updated: 10 October 2026

This Privacy Policy explains how Digital Force Limited (“Digital Force”, “we”, “us”, “our”) collects, uses, stores, shares and protects information in the Digital Force SEO & GEO Dashboard (the “Dashboard”), the client portal at dashboard.digitalforce.co.nz. It applies in particular to information we receive from Google when you connect your Google account. For our public website, see our website Privacy Policy.

We handle personal information in accordance with the New Zealand Privacy Act 2020.

1. What the Dashboard does

The Dashboard is a portal for Digital Force clients. It shows how their websites perform in search engines and in AI-powered search (SEO and GEO), using data from tools such as Google Search Console. It also tracks progress and lets clients review the reports and recommendations we prepare for them.

2. Information we collect

Account information. Your name, email address, company name and login details, which you or we provide when your Dashboard account is set up.

Google user data. If you choose to connect your Google account, we ask for the permissions needed for the features you use, and nothing more. These may include:

  • Basic profile information: your Google account email address and name, used to identify the connection.
  • Google Search Console data (read-only): the list of sites you have access to and, for the sites you choose to connect, search performance data (queries, pages, clicks, impressions, click-through rate and average position), index coverage and URL inspection results, and sitemap status.
  • Google Analytics data (read-only, only if you connect it): aggregated traffic and engagement reports for the properties you choose.

We use read-only access. The Dashboard does not change your Search Console or Analytics settings, does not submit or remove URLs on your behalf, and does not access your Gmail, Drive, contacts or any other Google service.

Usage information. Technical information about how the Dashboard is used, such as log-in times, IP address, browser type and pages viewed. We use it for security and to keep the service running.

3. How we use Google user data

We use Google user data only to provide and improve the features of the Dashboard that you can see and use:

  • to display your search performance, indexing status and trends in the Dashboard;
  • to produce SEO and GEO reports, alerts and recommendations for your websites;
  • to let the Digital Force team working on your account review that data with you, as part of the services you have engaged us for.

We do not:

  • sell Google user data;
  • use or transfer Google user data for advertising, including personalised, retargeted or interest-based advertising;
  • use Google user data to determine credit-worthiness or for lending purposes;
  • use Google user data to develop, improve or train generalised artificial intelligence or machine learning models;
  • allow humans to read your Google user data, except where you have given consent, where it is necessary for security purposes (such as investigating abuse), to comply with applicable law, or where the data has been aggregated and anonymised for internal operations.

4. Google API Services User Data Policy

Digital Force’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

5. AI-assisted analysis

Some reports and recommendations in the Dashboard are prepared with the help of AI models from third-party providers (such as Anthropic). When this happens, only the data needed to produce the requested analysis is sent. It goes to the provider as our service provider, solely to generate that analysis for you, under terms that do not permit the provider to use it to train its models. Google user data is never used to train generalised AI models, by us or by these providers.

6. How we share information

We share Google user data and other Dashboard information only:

  • with service providers that help us run the Dashboard, such as hosting and infrastructure (for example Cloudflare and our server providers), email delivery and AI analysis providers, and only to the extent needed to provide the Dashboard’s features;
  • with people in your own organisation that you have given access to your Dashboard account;
  • where required by law, or to protect the rights, safety or security of our users, Digital Force or others;
  • as part of a merger, acquisition or sale of assets, in which case the information remains subject to this policy;
  • with your explicit consent.

Some of these providers may store or process data outside New Zealand. Where that happens, we take reasonable steps to ensure your information is given protection comparable to that required by the Privacy Act 2020.

7. Storage and security

OAuth access and refresh tokens are encrypted and stored on our servers, and they are used only to retrieve the data described above. Data is transmitted over encrypted connections (HTTPS). Access to Dashboard data within Digital Force is limited to the staff who need it to serve your account. No method of transmission or storage is completely secure, but we take reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access.

8. Retention and deletion

We keep Google user data, and reports derived from it, for as long as your Google account remains connected and your Dashboard account is active. This lets us show you historical trends.

  • Disconnect at any time from the Dashboard settings, or by removing Digital Force’s access at myaccount.google.com/permissions. When you disconnect, we stop retrieving new data and delete your stored tokens.
  • Request deletion by emailing info@digitalforce.co.nz. We will delete your Google user data and the data derived from it within 30 days, unless we are required by law to keep it.
  • When your Dashboard account is closed, we delete the associated Google user data within 30 days.

9. Your rights

Under the Privacy Act 2020 you can ask to access, and to correct, the personal information we hold about you. To make a request, or if you have a concern about how we handle your information, contact us at info@digitalforce.co.nz. If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner (privacy.org.nz).

10. Children

The Dashboard is a business service and is not intended for anyone under 16. We do not knowingly collect personal information from children.

11. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last revised. If we make a material change to how we use Google user data, we will notify Dashboard users and, where required, ask for your consent again before the change takes effect.
